Learning Resources Interest Group (LRIG): Terms of Reference

1. Purpose

The Learning Resources Interest Group (LRIG) is a cross-functional working group that brings together PKP staff and community members to collaboratively plan, develop, and maintain PKP’s community support materials and resources. The group aims to enhance the accessibility, quality, and impact of learning materials that support PKP users and partners worldwide.


2. Objectives

The LRIG is established to:

  • Identify and prioritize community support materials and learning resource needs across PKP software and services.
  • Coordinate the creation, revision, and promotion of high-quality learning materials (e.g., documentation, video tutorials, guides, translations).
  • Ensure alignment of educational and documentation efforts with PKP’s strategic goals and community feedback.
  • Foster inclusive participation by engaging community contributors in meaningful project work.
  • Support the sustainability and continuous improvement of PKP’s resource ecosystem.

3. Deliverables

The LRIG is made up of two units: The Interest Group, and time-limited, project-based Working Groups that form on a project-by-project basis.

The LRIG:

  • Maintains a living list of proposed and in-progress topics and potential learning resources projects.
  • Prioritizes and selects projects for uptake by a working group.
  • Scopes selected projects by identifying specific community needs and gaps in the existing resources.
  • Develops a project charter to outline the vision (purpose), mission (steps), timelines, and deliverables for the project
  • Suggests working group participants from the broader PKP community and help to write and promote a call for participants
  • Receives regular reports from working groups and provide feedback and guidance on projects and deliverables
  • Develops standardized templates and guidelines to support consistent resource creation.

The project-based working groups:

  • Complete learning resources projects (develop, update, enhance, translate, and promote resources in various formats) in line with the project charter developed by the Interest Group
  • Provide regular updates to the Interest Group on project progress and outcomes

4. Membership

Composition

The LRIG will include:

  • Core PKP Staff Members:
    • Community Education Manager
    • Documentation and Multilingualism Specialist
    • Client Services Manager
  • Additional PKP Staff:
    • Invited staff from Publishing Services, Communications, Development, and other teams as needed
  • Community Members:
    • Volunteers with relevant experience or interest in education, documentation, translation, or user support

Working groups will include:

  • Volunteers from the LRIG and PKP Team
  • Community members who are invited to join based on their expertise and / or respond to calls for volunteers promoting a particular working group.

Terms

  • Community members are invited to join for a term of 24 months, renewable by mutual agreement.
  • Working group members may participate in short-term project teams without committing to year-long membership.

Responsibilities

All members are expected to:

  • Participate actively in monthly group meetings and project work, as applicable
  • Collaborate respectfully and contribute according to their capacity
  • Follow PKP’s Code of Conduct and applicable policies

5. Meeting Practices

  • Frequency: The LRIG will meet monthly via Zoom.
  • Chairing: Meetings are co-chaired by the Community Education Manager, Documentation and Multilingualism Specialist, or delegate.
  • Agenda: Agendas will be shared in advance and minutes recorded for internal distribution.
  • Decision-Making: Project selection and priorities will be determined through discussion and consensus. In the case of disagreement, final decisions rest with PKP staff.
  • Working Groups: Small, time-bound project teams will be formed to complete selected projects. These groups will define their own timelines, meet separately, and report progress to the LRIG.

6. Review

These Terms of Reference will be reviewed annually by the LRIG and PKP Directors and updated as needed to reflect evolving priorities or lessons learned.
