Automated email to editor after section editor decision

Automated email to editor after section editor decision

Hi Alec

How can I modify the code so that after secton editor decided on the paper an automated email be send to the editor? Your comment will be appreciated.

Hi Mahmoud,

Will this email be sent after the Author has been notified of the decision, or will the Editor take care of notifying the author?

I like the later (the Editor take care of notifying the author).

I think both is acceptable. The problem here is that when section editor accepted the paper but does not send the paper for editing stage (in the same session), the paper may remain there unnoticed for a long time. The section editor will no longer see the paper in the "under review" listing, and most of them have difficulty finding the paper under "in editing". Also this may be the problem when the section editor has permission only to oversee the review stage (not the editing). Therefore the problem here is not correspondence with the authors, but also keeping track of the later processings.

Hi all,

Each case will require a different approach. The best and easiest way, IMO, to notify the Editor of a Section Editor's decision in the case where the Section Editor is responsible for sending the editorial decision to the author is by CCing the Editor on the Section Editor's message to the Author. This can be done by editing the emailEditorDecisionComment function in classes/submission/sectionEditor/SectionEditorAction.inc.php near line 1751. After the line:

$email->addRecipient($authorEmail, $authorUser->getFullName());
...add the following line...

$email->ccAssignedEditors($sectionEditorSubmission->getArticleId());
For the other case, where you'd like to notify the Editor of a Section Editor's decision before the Author receives it, you'll have to decide on a few specifics:
  • Do you want the Section Editor to be taken directly to a "send email" page as soon as any decision is recorded? Only when certain decisions are recorded?
  • Or would it be better to insert an email link below the decision page, so that the Section Editor can choose when they want to notify the Section Editor?
Assuming the latter, you'll need to modify templates/sectionEditor/submission/editorDecision.tpl to add the email link. You can use the "Editor" email link in templates/sectionEditor/submission/summary.tpl as something of an example. If you include a "template" variable in the URL to the "send email" page, a pre-existing template will be added to the default message body.
