How to Post Past Conference Proceedings and Papers

1. Read the documentation. We've written documentation to cover from OCS basics to system administration and code development, and we encourage you to read it.

2. take a look at the tutorials. We will continue to add tutorials covering OCS basics as time goes on.

3. Post a question. Questions are always welcome here, but if it's a technical question you should probably post to the OCS Technical Support subforum; if you have a development question, try the OCS Development subforum.

How to Post Past Conference Proceedings and Papers

Our university group, which has conducted a biennial research conference since 2001, recently learned of OCS and are planning to use it to support our next conference in two years. However, we have several years of past conference proceedings (abstracts and papers) which we would like to post online using OCS to make the proceedings more searchable and accessible for researchers. Is this possible? It is unclear from the PKP documentation we've read so far that we can do this easily, if at all, using the Papers XML Plugin function. Any/all guidance on this matter will be most appreciated.

Hi eugenemurray,

Depending on the amount of content involved and whether you have XML expertise on hand, the two most common ways are a) manually and b) via the XML import/export plugin. For the latter, have a look at the DTD in plugins/importexport/native/native.dtd.

Alec, thank you for the reply. The amount of our content is quite large, and our XML expertise on hand is limited but we're certainly willing learn. All our metadata for the papers (author info, paper title, abstract text) are saved in XLS spreadsheet format so, ideally, we would format this data for XML and batch upload to OCS. Once uploaded, we would then manually upload a PDF file of each paper to complete the process. Would you reply further if this is possible to do? Also, I do not understand the reference to "DTD" nor how to look at the path you mentioned. Would you mind explaining this further?

Hi eugenemurray,

You might well already be aware of this, but just in case: exporting XML from Excel will not result in anything like an importable document for OCS. (The two formats have as much in common as English and Cantonese; "XML" is tantamount to both of them being spoken languages). A conversion process is something that would require quite a bit of effort.

The DTD describes the format OCS expects, and comes with the OCS installation. (It's also available for download at http://pkp.sfu.ca/ocs/dtds/native.dtd). You'll need someone sufficiently familiar with XML that they can read this.

OCS accepts XML documents that include paths to submission files (e.g. presentations or word processor documents), so typically what you'd do is include the paths in your import XML and when OCS ingests the file it'll also take in the submission files it refers to. Of course, you could add these manually afterward as an alternative.
