Accessing subscribers' mailing addresses?

Forum rules
This forum is meant for general questions about the usability of OJS from an everyday user's perspective: journal managers, authors, and editors are welcome to post questions here, as are librarians and other support staff. We welcome general questions about the role of OJS and how the workflow works, as well as specific function- or user-related questions.

What to do if you have general, workflow or usability questions about OJS:

1. Read the documentation. We've written documentation to cover from OJS basics to system administration and code development, and we encourage you to read it.

2. take a look at the tutorials. We will continue to add tutorials covering OJS basics as time goes on.

3. Post a question. Questions are always welcome here, but if it's a technical question you should probably post to the OJS Technical Support subforum; if you have a development question, try the OJS Development subforum.

Accessing subscribers' mailing addresses?

Postby michael_clj » Sun Aug 15, 2010 4:19 pm

Greetings --

We're preparing to mail out an issue of our journal, and cannot find subscribers' addresses. When we log in to OJS, under subscribers, we see this info for each of them:

User
Subscription Type
Start
End

... but no addresses?

Does anyone know where we might find the mailing addresses?

Thanks very much, in advance --

Best,

Michael

Hi Michael,

That information is only available if you click on the 'edit' action in the row for that user, and then only if they have provided an address in their profile.

Cheers,

Thanks, Matt --

So when we're ready to do a mailing, we need to click on each individual subscriber -- a couple hundred -- find their address and copy and paste it onto a mailing label? This is what most journals do?

Thanks,

Michael

Hi Michael,

I've filed your request as a future enhancement for OJS to better support print subscriptions. You'll find the bug report here. Please feel free to CC yourself on the report and/or add any additional details that are relevant.

As a workaround for the time being, if you have access to your OJS database you should be able to export this info in a more systematic way via the following SQL:

Code: Select all
SELECT DISTINCT sts.setting_value, DATE(s.date_start), DATE(s.date_end), u.first_name, u.middle_name, u.last_name, u.mailing_address FROM subscriptions s, users u, subscription_types st, subscription_type_settings sts WHERE s.user_id = u.user_id AND s.type_id = st.type_id AND s.type_id = sts.type_id AND sts.setting_name = 'name' AND s.status = 1 AND st.institutional = 0;

The above should give you all active individual subscription records with start and end dates as well as the user's name and mailing address.

The following should give you similar info for institutional subscriptions:

Code: Select all
SELECT DISTINCT sts.setting_value, DATE(s.date_start), DATE(s.date_end), ins.institution_name, ins.mailing_address FROM subscriptions s, institutional_subscriptions ins, subscription_types st, subscription_type_settings sts WHERE s.subscription_id = ins.subscription_id AND s.type_id = st.type_id AND s.type_id = sts.type_id AND sts.setting_name = 'name' AND s.status = 1 AND st.institutional = 1

Cheers,
Michael

Hi,

Just wondering if there have been any developments on this front? We're about to begin using OJS to publish a journal that has about 500 subscribers, the majority of whom have print-inclusive subscriptions. We don't have direct access to the SQL database.

We just assumed that we'd be able to run a report to generate lists of subscribers, including mailing address and subscription period, using the reports features...

Cheers,
Jo

Hi Jo,

This is currently in the works and I hope to have something complete shortly that will allow you to download a CSV file with subscriber information.

Michael

Hi everyone,

I've added a subscriptions report to OJS that will be available with the release of OJS 2.3.4

If you would like to use or test it in the meantime with an existing OJS 2.3.x installation, you can add the new subscriptions report folder and its contents into your plugins/reports directory.

You can find the new report code files here:
https://github.com/pkp/ojs/tree/master/ ... scriptions

You will also need to update your database with the following:
Code: Select all
INSERT INTO `versions` VALUES (1,0,0,0,'2010-12-19 10:33:44',1,'plugins.reports','subscriptions','',0,0);

Please note the above instructions only apply for testing with an existing OJS 2.3.x install. Once OJS 2.3.4 is released, the new report will be installed as part of the standard upgrade process.

Cheers,
Michael

I've gotten mailing addresses from this page: Home > User > Journal Manager > Import/Export Data > Users XML Plugin
